How to maintain and add artworks
Step-by-step guide to creating and managing artworks in the ato CMS.

Artist profile required
Before adding an artwork, the artist's profile must already be set up in the system. If artists are uploading their own works, we need their email address to grant them access.
Additional requirements:
- The artist profile is complete
- The person has CMS access (login created)
Logging in to the CMS
The login process is the same as for artist profiles:
1. Go to ato-cms and enter your email address
2. Click on "Request user password"
3. Enter your email again and press "Next"
4. Check your email inbox (also spam folder)
5. Click the link in the email to set your password
6. Return to login and sign in

Welcome to the dashboard
On the right side, you see all pages you can access:
- Dein Profil
- Personen (only visible to art agents)
- Kunst
- Veranstaltungen
We are now working with "Kunst"
Kunstagent:innen You probably don't see much yet, but later all artworks by the artists you represent will be listed here. Using the "Künstler:innen" dropdown in the top left, you can filter by individual artists for a better overview.

Create new artwork
Click the + button in the top right to add a new artwork.
Title and slug
- Title (German): Enter the name of the artwork
- Title (English): English translation of the title, if needed
- Slug: Leave this field empty — it will be created automatically
Artwork type
Choose one of the following categories:
- Reproducible: The work can be produced in multiple copies
- Unique: Only one original exists
- Edition: Limited edition (e.g., 3/10)
Price & Sales
- Price: Enter the gross gallery price (incl. shipping + 7% VAT)
- Alternative: If the price varies, use "Price upon request"
Year of creation
- Single year: e.g., 2023
- Time period: Use an en-dash, e.g., 2020 – 2024
Sales status
Update the artwork's current status:
- Available: The work can be purchased
- Reserved: The work is reserved but not sold
- Sold: The work has been sold
Important: Update the sales status immediately after any change!
Description of the artwork
Add a description. This field is optional and can be left empty.
SEO description (German & English)
Enter a short, concise description that appears in search engines:
- Approximately 150 characters (including spaces)
- Should include the title, technique, and year
- Fill in both language versions
Technique used (German & English)
Specify the techniques used in creating the work (e.g., oil on canvas, mixed media, sculpture, etc.). Fill in both language versions.
Materials used (German & English)
List the materials used (e.g., acrylic, wood, concrete, bronze, etc.). Fill in both language versions.
Dimensions
Type the dimensions into the empty field: Height x Width x Depth cm (HxWxD). For round objects, use the diameter symbol ⌀.
- Check the box: "Dimensions available" must be activated for the dimensions to be displayed
- Unit: Select the appropriate unit from the dropdown (mm, pixels, inch)
- Important: In the CMS, width is entered first, not height!
Additional information (German & English)
Add further information here:
- Artist statement: Italicized text about the work or series
- Series: If the work is part of a series, describe it
- Links: Relevant links can be added here
Fill in both language versions.
Add artist
Click on the "No Artist Selected" field and choose the appropriate artist from the list.
Then scroll back to the top to continue filling in the remaining fields.
Upload main image
- Format: Best in portrait or square format
- Resolution: Under 300 dpi (72 dpi is sufficient)
- The image will be displayed on the artwork page and in the overview
Edit image information
Click the gear icon next to the image.
- Copyright text: Enter the name of the photographer
- Copyright link: If a link to the artist exists, use an internal link (e.g.,
/artists/firstname-lastname/)
Click Save to apply the changes.
Tag selection
Choose from predefined dropdown lists:
- Medium: e.g., painting, sculpture, photography, etc.
- Technique: e.g., oil, acrylic, marble, bronze, etc.
Multiple selections are possible. Then click next to it (not on "Save tag"!).
Media gallery
Add additional images (e.g., detail shots, exhibition views):
- Click "+ Add Media"
- Each image can be given a caption and copyright info
Repeat this process per image — only one image can be added at a time.
Leasing option
Discuss with the artist whether a leasing option should be offered for the artwork:
- Leasing active: The work can be rented
- Disable leasing: Check this if no leasing option is desired
Create artwork
Once all fields are filled in, click the blue "Create" button at the top right and go back to the artworks overview page. The artwork will now be displayed as a draft.
Review before publishing
Open the artwork again and verify:
- All fields are filled in correctly?
- Titles and descriptions are error-free?
- The main image is uploaded and correct?
- Artist is assigned?
- Price and sales status are current?
- All important information is entered?
Publish artwork
Click on the artwork you just created and check the box at "Publish".
Then click the blue "Save" button. The artwork is now public at: https://ato.vision/artworks/...
Note: The artwork can be quickly reverted to draft status using the "Actions" button if changes are needed.
Avoid duplicates
Before adding a new artwork, check if it already exists in the overview. This prevents duplicate entries in the system.
If there are duplicates, please let us know and we will delete them.
